Marketing and Proposal Coordinator / Technical Writer

Responsible for the coordination, development, organization, review, and finalization of compelling proposals and related opportunity capture documents: Development of compliant, accurate, and compelling response narratives and graphics; Coordination and administration of proposal DORs, schedules, kick-offs, reviews, document control, electronic and print submittals, and response data.

Responsibilities

  • Write qualification packages, proposals, and leave behind material for key strategic and more complex pursuits

  • Support client service teams by preparing materials for internal and external meetings, as well as participating in client service team meetings

  • Develop compelling visuals that support strategic messaging

  • Interview SME(s) and conduct research to produce accurate and comprehensive proposal responses and messaging

  • Provide initial go-by write-ups/materials to SMEs, provide guidance to SMEs and others as appropriate, identifying known and potential issues with section responses

  • Create and manage pursuit responsibility matrices defining roles, deadlines, and assignments.

  • Initiate and lead proposal meetings, including kickoffs, status updates and reviews.

  • Finalize and submit proposal documents as appropriate.

  • Create compelling post-bid presentation materials.

  • Develop and maintain best practices and templates.

  • Manage multiple pursuits concurrently while meeting quality standards and deadlines

  • On major and/or complex pursuits, lead and manage other proposal staff and contractors in developing deliverables including proposal coordinators and technical writers.

  • Implement and monitor the proposal process and contribute to continuous improvement processes.

  • Liaise with the client regarding proposal submission requirements, requests for information, addenda, meetings, etc., as required.

  • Responsible for document control activities such as downloading proposal files from client portals, managing client portal passwords and overall maintenance of internal proposal file structure, as required.

  • Maintain up to date library of resumes, project profiles, presentations and photos while following brand standards.
